The data controller is BEEBOX SRL (“BEEBOX” or “We”). BEEBOX is a company established in 1040
Etterbeek, Rue Bâtonnier Braffort 57 and registered with the Crossroads Bank for Enterprises under
number 0755.710.469.
BEEBOX operates the “WOODCAB” solution, and as such markets modular, adaptable and
transportable wooden living rooms, called Woodcabs. Woodcabs are fully customised to suit the use
that the buyer will make of them.
The purpose of this privacy policy (the “Policy”) is to inform the person (the “Buyer” or “You”) who
engages with BEEBOX in the course of its business activities about how their personal data is
collected. Your privacy is of the utmost importance to us.

Data processed by Beebox

The types of personal data processed by BEEBOX depend on the relationship we have with you:

If you are a Buyer

If you enter into a customer relationship with BEEBOX (for example, by purchasing a
WOODCAB solution or requesting a price quote), BEEBOX processes:

  • Your identification data provided on the Website (name, address, phone number, email address)
  • The data associated with your purchase (serial number or product reference, model
    options)
  • Your payment information
    The purpose of the processing is the performance of services related to the customer
    relationship (pre-contractual discussions, order registration, delivery or collection of the
    order, contact, after-sales service, possible maintenance, product traceability in case of
    recall, etc.).
    The legal basis for the processing is the need to process personal data in connection with
    the execution of the contract.

If you are a Supplier or Partner

If you have a business relaQonship with BEEBOX (e.g. supplier, manufacturer, distributor,
etc.), BEEBOX processes:

  • Your identifying information (name, e-mail address, address, telephone number,
    company, function, etc.)

The purpose of the processing is the execution of the purpose of the contract with the supplier or partner (including the needs of invoicing and management of commercial relations).
The legal basis for the processing is the necessity of processing personal data related to the performance of the contract, if you are acting on your own behalf. If you are acting on behalf of or as a company, the legal basis for processing your personal data is our legitimate interest in being able to maintain business relationships and conclude contracts with suppliers or partners.

If you visit our Website

If you simply visit the woodcab.eu Website, BEEBOX processes your connection information (IP address, browser type, your computer’s operating system and other automatically generated information about your visit to the Website).
The legal basis for processing your connection information is our legitimate interest in ensuring the proper technical functioning and accessibility of our Website.
BEEBOX also processes other personal data using cookies. The data processed by Cookies are listed in the Cookie Policy (see Article 8).

Your rights as a person whose data is collected

To the extent permitted by applicable law, each Buyer whose data is collected has the following rights with respect to his/her personal data:

Right of access and rectification

You can access your personal data at any time and request a copy. You also have the right to request rectification of your data. In this respect, you are expressly requested to inform us of any changes to your personal data.

Withdrawal of consent

When the processing of your data requires your consent (as described in this Policy), you have the right to withdraw your consent, without such withdrawal calling into question the processing of your personal data that took place before the withdrawal of your consent.

Right to object to the processing

When the processing of your data is based on legitimate interest or public interest, you
have the right to object to the processing of your data. We will stop processing your data unless we can prove compelling legitimate grounds for the processing or for the exercise of legal rights. Similarly, you can object to the processing of your data for the purpose of direct marketing, so that your data will no longer be used for these purposes.

Right to erasure

As the person whose data is collected, and in accordance with any legal or contractual obligations, you have the right to request the erasure of your personal data held by BEEBOX. In the event of such a request, BEEBOX will respond to you by informing you of the consequences of this erasure in the context of the customer relationship, if applicable (for example, no longer being able to contact you for after-sales service).

Right to restriction of processing

In certain specific cases, briefly described below, we may have to limit the processing of
your data:

  • You dispute the accuracy of your data;
  • The processing of your data is unlawful and you prefer the restriction of processing to the erasure of your data;
  • You still need your personal data to exercise (a.o.) your legal rights;

Limiting the processing of your personal data means that we stop processing your data for the purposes set out in the Policy, but we continue to hold your data.

Right to data portability

You have the right to request that your data be compiled in a machine-readable format
for personal use or for transfer to a third party.

All these rights can be exercised free of charge by sending an e-mail to info@mywoodcab.com. If the
request is manifestly unfounded or excessive (e.g. with regard to data portability in the event of a
substantial burden on BEEBOX), BEEBOX may charge a reasonable fee or refuse to grant the request.
We undertake to respond to your request within one (1) month of receipt of the e-mail. In some
particular cases, we may need more time to consider your request and may require an additional two
(2) months. We will inform you accordingly if this is the case.

Right to lodge a complaint with the Belgian Data Protection Authority

You have the right to lodge a complaint with the Belgian Data Protection Authority at any
time. However, you are invited to contact us beforehand, so that we can find a solution
together

Disclosure of personal data and communication to partners

In the course of providing our services or when required by law, we may disclose your personal data
to third parties:

  • Regulators and law enforcement officials;
  • Lawyers;
  • Auditors;
  • Third party service providers and consultants;
  • Credit, debit and payment card companies, banks and other payment processors;
  • Any agents or subcontractors acting on behalf of BEEBOX in the organisation of BEEBOX activities.

We will not share your personal data with third parties for secondary or unrelated purposes (other
than as required by law or to perform our contractual obligations), unless you indicate otherwise at the time of collection. We may also disclose your personal data to the above mentioned third parties in the following cases:

  • To the extent that we are required to do so by law;
  • In connection with (potential) legal proceedings;
  • To establish, exercise or defend our legal rights;
  • For third parties to provide services to us or to others on our behalf;
  • For the purpose of a third party acquiring all or part of BEEBOX and/or all or part of
    the BEEBOX business;
  • If you have given your consent;
  • For disaster recovery purposes, including in the event of a data breach.

The business partners and third party service providers with whom BEEBOX may share personal data
are, for example:

  • Business partners (for order processing)
  • Website provider (WordPress)
  • Newsletter provider (Mailchimp)

Your data will not be transferred outside the European Union under any circumstances.

Hyperlinks on the Website

The Website may contain links to other websites owned by third parties. BEEBOX is not responsible
and cannot be held liable for the actions of any third party operating third party websites, whether or
not they are linked to the Website or whether you have been redirected to such sites through the
Website. Please note that we do not accept any responsibility for the processing of your data by third
parties, through third party websites.

Retention period

We will retain your data for as long as is necessary to carry out the activities described in this Policy,
or as long as is required by our legal obligations. Personal data will be deleted from our electronic,
manual and other file systems in accordance with our internal procedures and/or other agreements.
In general, BEEBOX will not store your personal data for longer than is legally permissible and in any
event no longer than is necessary for the purposes for which it was collected.

Data security

The security of personal data is important to us. BEEBOX will take all reasonable and appropriate technical and organisational measures to protect the security, confidentiality and integrity of personal
data.
BEEBOX will take special measures appropriate to prevent accidental or unlawful destruction, loss,
alteration, unauthorised disclosure of or access to your personal data.
